The problem

One login the whole practice shares is not a team

A shared account means everybody can do everything, nobody can be asked who changed what, and a person who leaves takes the password with them. A record and a role per person fixes all three, and takes a minute per person to set up.

Everyone who works there

Position, department, employment type and an employee ID, with filters for active, invited, suspended and inactive.

Invited by email

A new team member receives an invitation, sets a password and is in — with a way to send it again if it did not arrive.

A role per job

Receptionists see the diary and the clients; nurses see records and vaccinations; managers see the practice. Owners see everything.

Listed on the website, or not

Each person can appear on the public team page with one toggle.

Roles and permissions

Decide what each job can see and do

6 roles ship ready to use. Administrators create employees, assign a role, and adjust access module by module — 66 permissions across 25 modules.

Built-in roles

Clinic Owner, Practice Manager, Doctor / Veterinarian, Veterinary Nurse, Receptionist and Staff, each with sensible defaults.

Custom roles

Duplicate a built-in role and change it, or create one from scratch for the way your practice works.

View, create, edit, delete — per module

Practice, team, scheduling, patients, records, prescriptions, vaccinations, notifications, reports, billing and audit.

Direct grants

Give one person one extra permission without inventing a role for it.

Activity log

An audit trail of who changed what, for those with permission to see it.

Who it covers

Everyone in the building, not just the vets

  • Veterinary nurses and technicians
  • Reception and front desk
  • Practice managers and administrators
  • Locums and interns, with the access that suits a short stay

Vets have their own record too, with registrations and expiry dates — see doctor management.

When they work

A pattern per person, feeding the diary

Each person has a weekly pattern of hours, checked against the practice's own opening times. Approved leave and closures take slots out of the diary, so the week the team actually works is the week clients can book.

FAQ

Questions about staff management

Yes. Add as many vets as work at the practice, each with their own profile, professional registration, specialisms, weekly availability and diary. Appointments are assigned to a specific doctor.

Yes. Six roles are built in — Clinic Owner, Practice Manager, Doctor, Veterinary Nurse, Receptionist and Staff — and you can create your own. Access is set per module across 66 permissions, and one person can be granted an extra permission directly.

Yes. Every doctor and staff member has a weekly pattern with breaks, checked against clinic hours. Those with permission edit their own; managers can edit everyone’s. Leave, half days and closures are handled in the same place.

Yes. Each doctor’s council, registration number and validity date are on their record, and an approaching expiry is flagged on the dashboard weeks ahead — because a vet cannot see patients on a lapsed registration.
