Getting started

VetWorkFlo is veterinary practice management software. It gives a clinic or hospital one console for appointments, doctors, staff, clients and their pets, availability, roles and permissions, records, reminders, reports and the practice’s public website — plus an app for pet owners.

Veterinary clinics and hospitals, and everyone who works in them: owners, practice managers, vets, nurses, receptionists and other staff. Pet owners use their own app for the practice, so it serves both sides of the desk.

For the hosted platform, a practice is typically set up and signing in within a few days of the first call: we create the practice, you add your team and availability, and you invite clients when ready. A branded deployment depends on your infrastructure and brand assets; we agree a plan on the call.

Request a demo and we will walk through the console on a 30-minute call, with your kind of practice in mind. There is nothing to install and no obligation.

No. The hosted platform is a website your team signs in to, and your clients use their own app in a browser on their phone.

Platform & features

Appointments and booking, doctors, staff, clients and pets, availability and leave, roles and permissions, clinical records, prescriptions, vaccinations, reminders, notifications, reports, the practice’s public website, and an app for pet parents.

Yes. The team model — many doctors, nurses, technicians, front desk and administrators with separate permissions — and the roles, audit log and reporting are built for larger teams as well as small clinics. Groups running several sites should talk to us about the branded option.

Yes. The practice profile, opening hours, services, FAQs and testimonials you manage in the console power a public website for your practice, with its own contact form and client registration page.

Over 30, 90 or 365 days: appointments seen, cancelled and not attended with the rate; booking requests received and still unanswered; vaccinations tracked, lapsed and in date; and what the practice invoiced. Each figure comes with a plain-language note, and the report exports.

Appointments

Clients request appointments from their app or your practice website: what is wrong, when they can come and which vet they prefer. The practice then confirms a slot, offers alternatives or declines. The front desk can also book directly, and clients are emailed when the diary changes.

Yes. Only the hours somebody actually works can be booked. Availability patterns, buffers between appointments, approved leave and practice closures all take slots out of the diary automatically.

Confirmed, completed, cancelled, did not attend, offered and declined — so a slot is never simply “booked” and the did-not-attend rate is a real number you can act on.

Yes. Appointment reminders go out on a schedule the practice sets, and vaccination reminders are sent from a chase list when somebody at the practice decides to send them.

Doctors & staff

Yes. Add as many vets as work at the practice, each with their own profile, professional registration, specialisms, weekly availability and diary. Appointments are assigned to a specific doctor.

Yes. Six roles are built in — Clinic Owner, Practice Manager, Doctor, Veterinary Nurse, Receptionist and Staff — and you can create your own. Access is set per module across 66 permissions, and one person can be granted an extra permission directly.

Yes. Every doctor and staff member has a weekly pattern with breaks, checked against clinic hours. Those with permission edit their own; managers can edit everyone’s. Leave, half days and closures are handled in the same place.

Yes. Each doctor’s council, registration number and validity date are on their record, and an approaching expiry is flagged on the dashboard weeks ahead — because a vet cannot see patients on a lapsed registration.

Clients & pets

Through your practice’s own registration page, which is part of your public website. They create an account, add their animals, and can start requesting appointments. The front desk can also add a client and send them an invitation.

Species and breed, allergies and conditions, vaccinations with their due dates, clinical notes, prescriptions, reminders and appointment history — all on one page, carried into every visit.

Yes. Every registered client gets their own app for your practice: their pets and records, appointment requests and bookings, repeat prescription requests, reminders and notifications. It works on a phone with the same account they use for your website.

Subscriptions

The hosted platform is a subscription per practice, agreed with our team rather than through a checkout, so a small clinic and a hospital are not charged the same way. The branded platform is a purchase and a deployment. Both are discussed on the call.

Ask on the call. We set the practice up for you either way, so you are looking at your own practice rather than a sandbox.

By talking to us. There is no self-service billing portal inside the console today, and your own invoicing settings — what your practice charges its clients — are separate and stay in the console.

Branded platform

Yes. With the branded platform, VetWorkFlo is deployed for your organisation with your own domain, logo and brand colours, so your team and your clients see your brand throughout — in the console, the client app, the practice website and the emails.

Yes. The branded platform can be deployed on the infrastructure you prefer, in the region you choose, with its own database and your own domain. We handle the deployment with you; you own the platform.

With the hosted platform you sign up, we run and update it, and you pay a subscription. With the branded platform you purchase and own a deployment under your brand on your infrastructure, suited to groups, larger hospitals and franchises that want more control. Both run the same product.

Veterinary groups, larger hospitals, franchises and organisations that want the platform under their own name — and want to decide where it runs and who administers it.

Security & support

Every person signs in to their own account with a role that decides what they can see and do, across 66 permissions and 25 modules. A single permission can be granted directly to one person, and an activity log records who changed what.

Sign-in uses one-time codes sent by email, and staff accounts can additionally use two-factor authentication. Sessions are separate for practice staff and pet owners, so a client signing in at the front desk cannot reach the console.

The VetWorkFlo team at TechGlock Software Solutions. We onboard every practice ourselves and stay on hand afterwards, for the hosted platform and for branded deployments alike.
