Requests come to you
A client says what is wrong, when they can come and which vet they would like. The practice confirms a slot, offers alternatives or says it cannot help.
Every request and every booking, in one diary
Clients ask for a time from their app or the practice books at the desk. Either way it lands in the same place, with a doctor, a duration and a status the whole team can see.
The problem
Most practices lose time in the gap between a request and the diary: a message on an answerphone, a note on the desk, a slot offered to somebody who has already been booked in by a colleague. The fix is not a better calendar — it is one place where the request, the answer and the appointment are the same record.

Confirmed, completed, cancelled, did not attend, offered and declined — so a slot is never just “booked”.
Which vet, what kind of consultation, how long, and the reference to quote on the phone.
Only the hours a doctor works can be booked, with buffers between appointments and closures respected.
Appointment reminders go out on a schedule the practice sets, which is the usual first fix for missed appointments.
How it works
From their app or your practice website: what is wrong, when they can come, and which vet they would prefer.
Confirm a slot, offer alternatives, or say it cannot help. The client is emailed either way, so nobody is left wondering.
With a doctor, a consultation type, a duration and a reference to quote on the phone.
On a schedule the practice sets — the usual first fix for missed appointments.
Completed, cancelled or did not attend, so the diary reflects what actually happened.
Doctor availability
Bookable slots are not a separate calendar to keep in step. They are worked out from each doctor's availability, so the diary cannot offer a time nobody is there for.
The client's side
Registered clients have their own app for your practice. They ask for a time, see what was agreed, and are emailed when the diary changes — which takes the routine calls off the front desk without taking the decision away from it.
FAQ
Clients request appointments from their app or your practice website: what is wrong, when they can come and which vet they prefer. The practice then confirms a slot, offers alternatives or declines. The front desk can also book directly, and clients are emailed when the diary changes.
Yes. Only the hours somebody actually works can be booked. Availability patterns, buffers between appointments, approved leave and practice closures all take slots out of the diary automatically.
Confirmed, completed, cancelled, did not attend, offered and declined — so a slot is never simply “booked” and the did-not-attend rate is a real number you can act on.
Yes. Appointment reminders go out on a schedule the practice sets, and vaccination reminders are sent from a chase list when somebody at the practice decides to send them.
